Syncing diversity categories between SAP Ariba and TealBook

The partnership between SAP Ariba and TealBook focuses on empowering SAP Ariba users with supplier diversity data to help drive supplier diversity and procurement strategies.

When you sign up for TealBook SAP Ariba integration, a member of TealBook's Implementation team will reach out to welcome you to the integration experience and share the diversity information template with you. You'll need to import this template to your SAP Ariba Supplier Administration portal to begin syncing your diversity information. 

The diversity information sync is a necessary step that helps us understand your diversity categories in SAP Ariba. This is because diversity category IDs used between SAP Ariba and Tealbook may vary. The diversity categories must be synced so that information between the two systems can be translated efficiently during supplier enrichment. 

The sync is a one-time process and must be done before we can enrich your supplier lists. Once diversity categories are synced, you can upload your supplier list to TealBook for enrichment.

Check your SAP Ariba account for diversity categories

Before you start, review your SAP Ariba account and determine if you already have diversity categories configured in SAP Ariba.

If you don’t have diversity categories set up yet, you can simply import the TealBook diversity info template to SAP Ariba. If you’d like to receive data for only specific categories and would like to exclude certain categories, you may remove the unwanted categories from the template before importing it to SAP Ariba.

Note: When you delete diversity categories from the diversity info template  and those categories are not already configured in your SAP Ariba account, then the deleted categories will be excluded from your supplier list enrichment.

If you already have diversity categories set up, complete the following steps before importing the diversity info file to SAP Ariba:

1. Check which diversity categories you already have in SAP Ariba.

2. Open the diversity info template and review the diversity categories listed.
   
   

   • Remove the diversity categories that you already have in your SAP Ariba account from the list. You may simply delete the entire row of data to remove a category.
     

   • Remove any categories that you don't want to import and receive data for.
     
     Note: If you remove diversity categories from the template and those categories are not already in your SAP Ariba account, then the deleted categories will be excluded from your supplier list enrichment.

3. Proceed with the diversity info sync.

Import diversity info template to SAP Ariba

Once you've checked your SAP Ariba account and determined which diversity categories you'd like to receive enrichment for, you can start the sync. To get started, you'll need to import the prepared diversity info template to your SAP Ariba account through the Data import or export portal.

1. In SAP Ariba, click Manage in the upper right corner and select SM Administration.
   

2. From the Data import or export screen, click on the File type dropdown and select Diversity Info.
   
   

3. In the Import tab, click the Choose file button. This will open the import window.

4. Locate and select the diversity info .csv template, then click Open. 

5. Click Upload. 
   
   
   After you click upload, you can navigate to the Import summary tab to view the status of your upload. When your file is successfully uploaded, the file's status will display Success. 
   

Export diversity info from SAP Ariba

Once your diversity info is successfully imported to SAP Ariba, you will need to export the diversity info from SAP Ariba. To begin the export:

1. Navigate to SM Administration within your SAP Ariba portal.
2. From the Data import or export screen, click on the File type dropdown and select Diversity Info.
3. In the Import tab, click the Export button. This will initiate processing of your diversity info export file and will be confirmed by a green banner.
   
   
   Once the export file has been created, the file download link will be displayed next to the Export icon.
   
4. Click the .csv file name next to the Export icon to download the export file to your computer. This is the sync file that you will need to upload to TealBook to complete the diversity information sync.

Upload SAP Ariba diversity info export file to TealBook

When the diversity info export .csv file has been downloaded to your computer. Log in to your TealBook account for the final steps in the diversity information sync. 

1. In your TealBook account, click the user account selector on the top left corner next to the TealBook logo and choose the Admin portal.
   
2. In the SAP ARIBA tab, click the dropdown menu below the uploader and select Diversity Info.
   
3. Click the uploader box to browse for your export file or simply locate the file and drop it into the uploader. 
4. Click Upload file.
   The file you uploaded will be displayed in the upload history table with a Processing status.
   

Our team will begin processing your file. You will be notified by email when we've finished mapping your SAP Ariba diversity categories. Once your diversity categories are synced, you may upload your supplier list for enrichment.
